SHALVA seeks a part time Administrative Assistant to provide general support to the Executive Director and Director of Development as well as management of our donor database. Responsibilities include assisting with preparation for board and committee meetings, providing administrative support for fundraising events and solicitations, and maintaining donor database. Duties also include managing schedules, filing, organizing materials and coordinating activities. The ideal candidate will be exceptionally organized, able to prioritize and complete multiple tasks efficiently, with attention to detail and excellent follow through. Strong computer, oral and written communication skills a must. This position includes responsibilities with exposure to confidential information requiring discretion and good judgement. A positive attitude and the ability to work independently yet follow direction a must.

This is a part-time position for approximately 25 hours per week, Monday through Thursday and once a month on Friday. Occasional evening hours. Exact location confidential – easy commute from city and most suburbs.

SHALVA’s Mission Statement & History

Founded on the principle that every Jewish woman has the right to be safe in her personal relationship with her partner, SHALVA’s mission is to address domestic abuse in Jewish homes and relationships through counseling and education. Rooted in Jewish values and founded in 1986, the agency provides free domestic abuse counseling for adult women in the Chicago Jewish community. SHALVA is the oldest independent Jewish domestic violence agency in the United States and has been instrumental in facilitating dialogues on the specific needs of Jewish families experiencing domestic violence.


Assist Executive Director:

Schedule meetings and appointments, prepare and distribute meeting materials, order and/or pick up meeting refreshments, organize and maintain director’s files, prepare requested reports, draft correspondence, assist with special projects and perform other administrative duties as requested.

Assist Director of Development:

Provide administrative support for all fundraising events, appeals, and development activities. Tasks include maintaining the donor database, preparing mailing lists, processing receipts, and generating fundraising reports. Assist with stewardship activities which may include personalized mailings and phone calls.

Manage Donor Database:

Develop regular routines to update quality of information and records, create criteria for lists, letters, invitations, stewardship activities, create reports to monitor fundraising activity, prepare and distribute donor lists and manage integrity of the database and data. Data entry also required.



  • At least 2-3 years serving in an administrative role and managing a donor database.  Experience with DonorPerfect a plus.
  • Proficient in Microsoft Office including Excel, PowerPoint, and Adobe.
  • Highly organized with attention to detail and ability to manage and meet multiple deadlines.
  • Ability to work independently and collaboratively. Can also take direction.
  • Excellent communication and interpersonal skills.
  • BA/BS Degree preferred, but not required.
  • Fundamental understanding of Jewish culture and traditions.
  • Completion after start date of 40-hour Domestic Violence training.
